How do I add Safety Data Sheets to our SDS library?
There are a number of ways you can add Safety Data Sheets to your library.
This video shows the most used methods.
Below is a detailed description of various scenarios on how to add SDS to your library:
1. Add SDSs or Chemicals to your library by searching our database of 10Million+ Safety Data Sheets.
2. I have received a PDF file from our supplier I want to add to our library.
3. I have received a new version of an SDS I use and want to upgrade our library to use the new version
4. I have a scan of an SDS file I like to add to our library
5. I need to add a new product to our SDS library before I get hold of the SDS-PDF file.
6. Initial Migration: I have lots of SDS files in a folder structure that I like to add to our SDS library
7. Initial Migration: I have SDS binders (single PDF file that contain multiple SDS files) that I would like to add to SDS Manager.
8. Initial Migration: I have an XLS file with a list of products that we use that I need to get SDSs for.
9. Initial Migration: I use a different vendor form managing our SDS library and like to export the SDSs from this system to SDS Manager
1. Add SDSs or Chemicals to your library by searching our database of 10Million+ Safety Data Sheets.
Navigate to "Manage SDS Library" and select the location where you like to add Safety Data Sheets.

To add a SDS for a product, simply search for the product name, then hover on the (+) icon and choose "Add Safety Data Sheet to YOURLOCATION".
You also have the option to add one SDS to multiple locations in one operation using "Add Safety Data Sheet to other locations".
2. I have received a PDF file from our supplier that I want to add to our library.
To upload a single SDS file, open the "Manage SDS Library" option and press the "ADD" button. In the dialog shown below you can drag and drop your file or browse in your system to add an SDS-PDF file to your SDS library

SDS Manager will automatically read all information in the PDF you upload and add the SDS to your library. You can also add multiple files in one operation by multi-select in the file-picker dialog.
3. I have received a new version of an SDS I use and want to upgrade our library to use the new version
If you have received a new revision of an SDS file from your supplier for an SDS that is already is in your library, you can use our feature "Replace with new SDS"
Select "Replace with new SDS" from the more menu on the SDS you want to replace. In the dialog window you can upload the PDF file you have received. You also have the option to replace an SDS in your library by searching for a new SDS in our database. As your system requires identical product name and supplier name in the PDF file to recognize a SDS to be a new version of an older SDS, this method should also be used when a name of a product has changed.
If the SDS is used on multiple locations, you will be prompted if you want to change all SDSs to the new version.
The old SDS will be moved to archive folder and will remain linked to the new SDS file you upload.
You can also perform the same operation on "All our SDS" list.

4. I have a scan of an SDS file I like to add to our library
You start by uploading the file.
For files that does not contain any test, the following message will be shown:
You should now click "Try using OCR" - the system will now try to read the file as an image and extract data. This usually works well if the scan is of high quality. If OCR fails - you should either try to get a new file from your supplier or manually enter information from the SDS manually
To manually enter product information, you open the import status page and click the edit pen on the file you uploaded.
The SDS will now be added to the location you uploaded the file. You can now edit any information using the more menu from the SDS list.
5. I need to add a new product to our SDS library before I get hold of the SDS-PDF file.
Sometimes you want to add a product to your SDS library but don’t have any SDS to link to the new product.
To handle such cases, you can add the product information to your SDS library and later link a SDS to the product. This way you can let your purchasing department or logistics personnel add products to SDS Manager and let the HSE-manager add the corresponding SDS later.
In SDS Manager, you will find a list of substances that are missing SDSs. With this list, it is easy to add missing SDSs to keep your library up to date at any time.
6. Initial Migration: I have lots of SDS files in a folder structure that I like to add to our SDS library
If you currently have your SDS files stored on a file-share, you can easily import all your SDSs to SDS Manager.

You can simply zip your folders with SDS-files and import them to SDS Manager.
If you have the SDS-files stored in a folder hierarchy, you can zip the whole folder structure and we will automatically create a matching location structure and add the SDSs to each location in the same way you have then on your file system. When SDS Manager imports the SDS files, we will analyze them and extract all the content found in the SDS tiles and make them available for you in your new SDS library. It is pure magic, and SDS Manager is the only company that has such an import feature.

When SDS Manager imports your ZIP file, the locations are automatically created and the SDSs are added to the corresponding locations:
7. Initial Migration: I have SDS binders (single PDF file that contain multiple SDS files) that I like to add to SDS Manager.
If you already have SDS-binders for each of your locations, you can simply upload the SDS-binder file to a location in our SDS Inventory Manager. We will automatically read the PDF you import and find out what SDS are in the file and add them automatically to the location.
With this method you can populate your SDS inventory manager with thousands of SDS in a matter of minutes. The only requirement is that you have an SDS-binder for each location in your company.
8. Initial Migration: I have an XLS file with a list of products that we use that I need to get SDSs for.
If you have a XLS or CSV file with your substances, the list can be imported to SDS Manager. Let us know if you prefer to build your library of SDSs by importing your product inventory and we will help you import the data.

The simplest method of migrating from a competitor to SDS Manager is to generate an SDS-binder for each location you have SDS in your current system. All systems for SDS inventory management have the ability to create PDF files that contain all SDS related to a location.
In SDS Manager you can simply upload the SDS-binder file to a location in our SDS Inventory Manager. We will automatically read the PDF you import and find out what SDS are in the file and add them automatically to the location.
